Integrate 100Hires with Twilio for SMS and Calls


Connect your Twilio account to 100Hires to text and call candidates without leaving the ATS. Outbound SMS, incoming call routing, and click-to-call all run through the phone numbers you already own in Twilio.


What the integration does


  • Send SMS to candidates from the candidate profile.
  • Place outbound calls from the candidate profile using the Call candidate button.
  • Route incoming candidate calls through a cascading forwarding chain to your hiring team, with voicemail fallback.
  • Log incoming calls on the candidate's Discussion timeline when the caller's phone number matches a candidate in your account.


Prerequisites


  • An active Twilio account.
  • At least one SMS-capable phone number provisioned in Twilio.
  • For US SMS traffic, A2P 10DLC verification must be completed in Twilio. Contact 100Hires support if you need help with the verification setup.


Connect Twilio

  1. In 100Hires, go to Settings > Integrations > Twilio.
  2. Enter your Twilio credentials in the connection form and save.


Incoming calls (cascade forwarding)

When a candidate calls your Twilio number, 100Hires can ring members of your hiring team in sequence instead of a single phone.


How to set it up:


  1. Go to Settings > Integrations > Twilio.
  2. Check "Enable call forwarding".
  3. Click "+ Add number" and enter a real phone number (for example, a recruiter's mobile).
  4. Pick a ring timeout from the available options (10, 15, 20, 30, 45, or 60 seconds) - how long this number rings before moving to the next.
  5. Add additional fallback numbers in the order you want them tried. Use the up/down arrows to reorder.
  6. Save.


What happens on an incoming call:


  • The call is logged in 100Hires and matched to a candidate by the caller's phone number, then shown on the candidate's Discussion timeline.
  • Twilio rings the first number; if not picked up within its timeout, it rings the next number, and so on.
  • If nobody picks up and a voicemail greeting is set, the caller hears the greeting and can leave a voicemail.
  • If the call is answered, it is marked as answered on the candidate timeline.
  • Voicemail recordings and answered call recordings are attached to the same call record and playable from the candidate's Discussion timeline.

On the Twilio integration page there is a "Voicemail greeting" text field (up to 500 characters). Twilio reads this text to the caller using text-to-speech when nobody answers.


  • If the greeting is empty and forwarding is off (or no forwarding numbers are added), the call is simply dropped.
  • Voicemail recordings from callers are limited to 120 seconds. 10 seconds of silence automatically ends the recording.
  • Voicemail audio is stored with the call record and playable from the candidate's Discussion timeline.

  • Two notification types are available: Incoming call and Missed call.
  • Notifications are OFF by default - each user must enable them in Settings > Notifications.
  • The notification includes the caller's number, your Twilio number, and a link to the matched candidate (if a candidate was found by the caller's phone number).


A2P 10DLC (required for US SMS)


A2P 10DLC is a US carrier compliance program for application-to-person SMS. Before sending to US numbers from 100Hires, complete the A2P 10DLC verification process in your Twilio account. Contact 100Hires support if you need help getting the verification configured correctly.


Limitations


  • If your Twilio number already has a custom TwiML App configured on the voice webhook, 100Hires will not overwrite it, and forwarding and voicemail will not activate. Remove the custom voice app from the Twilio number first.
  • If the caller's number does not match any candidate in your account, the call is still logged, but no candidate-linked notification or timeline event is created.
