How to Create and Manage Tasks

This article explains how to create and manage tasks in 100Hires. Tasks help you track follow-ups, assign work to colleagues, and ensure nothing falls through the cracks.


Creating a task


From a candidate profile


  1. Open the candidate's profile
  2. Go to the Tasks tab (right panel)
  3. Click Create Task
  4. Fill out:
  • Task type: Select from your task types
  • Due date: When it should be completed
  • Priority: P1 (highest) to P5 (lowest)
  • Assignee: Team member responsible
  • Description: Details about the task
  1. Click Save


Using automations


Tasks can be created automatically:

  1. Go to job's Workflow tab
  2. Add Assign Task automation to a stage
  3. Configure task details
  4. Task is created when candidates reach that stage


Task types


Manage task types at Settings / Task Types:

  • Review resume
  • Schedule call
  • Send follow-up
  • Check references
  • Send LinkedIn request
  • Custom types you create


Viewing your tasks


Go to Tasks to see:

To Do tab

  • Open tasks assigned to you
  • Sorted by due date and priority
  • Click to view candidate context


Done tab

  • Completed tasks
  • Reference for what's been done


Deleted tab

  • Removed tasks
  • Can restore if needed


Managing tasks


Mark as complete


  1. Find the task in your list or candidate profile
  2. Click the checkbox or "Mark done" button
  3. Task moves to Done tab


Edit a task


  1. Click on the task
  2. Modify any field
  3. Save changes


Delete a task


  1. Find the task
  2. Click delete/trash icon
  3. Task moves to Deleted tab


Task notifications


When a task is assigned:

  • Assignee receives email notification
  • Email includes task details and candidate link
  • Reminder notifications for overdue tasks (configurable)


Configure at Settings / Notifications:

  • New task assigned to you
  • Due tasks assigned to you
  • Task updates

  • Recruiter handoffs: Assign review tasks to hiring managers
  • Manual follow-ups: "Send LinkedIn connection request"
  • Reference checks: Assign to HR team
  • Sourcing tasks: In nurture campaigns, add task steps for manual outreach
