How to Create Custom Workflows and Pipeline Stages

Create different workflows for different types of roles, each with its own pipeline stages and automations.


Understanding workflows


A workflow is a set of pipeline stages plus the automations on each stage. By default, all jobs share one workflow. You can create custom workflows for specific role types.


Enabling multiple workflows


  1. Open any job
  2. Go to the Workflow tab
  3. Toggle on "Use different workflows for different jobs"
  4. Now you can select or create workflows per job


Creating a new workflow


  1. Open a job's Workflow tab
  2. Enable the multi-workflow toggle (if not already on)
  3. Click the workflow dropdown
  4. Click Add new workflow at the bottom
  5. Name your workflow (e.g., "Developer Hiring", "Sales Pipeline")
  6. Add pipeline stages using the dropdown at the bottom


Adding pipeline stages


  1. In the workflow editor, find the dropdown at the bottom
  2. Start typing to search existing stages or create new ones
  3. Click to add the stage
  4. Drag to reorder stages
  5. Click the bolt icon to add automations to any stage

Adding automations to stages


Click the bolt icon on any stage to add:


  • Email to candidate
  • Email to teammate
  • Nurture campaign
  • AI Score
  • Disqualify If
  • Assign Task
  • And more


Managing global pipeline stages


View all pipeline stages at Settings / Pipeline Stages.


Adding stages here makes them available in the workflow dropdown, but they don't automatically appear in any workflow until you add them.


Tips


  • Create workflows for distinct hiring processes
  • Keep workflows focused (not too many stages)
  • Add automations to reduce manual work
  • Test workflows with a few candidates before full rollout
