How to Include External Tests in Your Hiring Process

This article explains how to integrate external assessment tools using Zapier automation. You can automate sending candidates to testing platforms when they reach specific pipeline stages.


How it works


  1. Candidate reaches a specific pipeline stage
  2. Zapier triggers and sends candidate to testing platform
  3. Candidate completes assessment
  4. Results can flow back or you check manually


Setting up with Zapier


Step 1: Get your 100Hires API key


  1. Go to Settings / Integrations
  2. Find the Zapier section
  3. Copy your API key


Step 2: Create a Zap


  1. Go to zapier.com
  2. Click Create Zap
  3. Search for 100Hires as the trigger appm
  4. Connect with your API key


Step 3: Configure the trigger


Choose trigger: New Candidate in Stage

  • Select the job
  • Select the pipeline stage that should trigger the test


Step 4: Add testing platform action


  1. Search for your testing platform in Zapier's app marketplace
  2. Choose action: "Create assessment" or "Invite candidate"
  3. Map fields:
  • Candidate email
  • Candidate name
  • Test/assessment to assign


Step 5: Test and activate


  1. Test the Zap with a sample candidate
  2. Verify candidate receives test invitation
  3. Turn on the Zap



Pipeline stages:

  1. Applied
  2. Screening (AI Score or initial review)
  3. Assessment - Zapier triggers here
  4. Assessment Complete (manual move after test done)
  5. Interview
  6. Offer


Testing platform options


You can use Zapier to connect with many external testing platforms. Popular options include skills assessments, cognitive ability tests, personality assessments, and coding challenges. Check Zapier's marketplace to find your preferred testing tool and see available actions.


Tips


  • Create a dedicated stage for testing
  • Set clear deadlines for test completion
  • Use stage automations to follow up on incomplete tests
  • Consider sending a reminder email about the assessment


Limitations


  • Results typically don't auto-import to 100Hires
  • Manual stage movement after test completion
  • Requires Zapier subscription for automation
