How to Manage Access to a Job by Managing Its Hiring Team

Control who can see a job and its candidates by managing the job's hiring team.


How Hiring Teams Work


  • Administrators see all jobs regardless of hiring team membership
  • Recruiters and Interviewers only see jobs where they're on the hiring team
  • Hiring team members receive notifications about their jobs
  • Administrators don't receive notifications unless they're explicitly on the team
  • Stage-based visibility can further limit which candidates Recruiters and Interviewers see (Admins are never restricted)


Adding Team Members to a Job


  1. Open the job
  2. Go to the Team tab
  3. Select colleagues from the list
  4. They now have access to this job


Removing Team Members


  1. Open the job
  2. Go to the Team tab
  3. Find the team member
  4. Click the X or remove button next to their name


Quick Add from Invite


If someone isn't in your organization yet:


  1. Go to the job's Team tab
  2. Click the link to invite new team members
  3. Enter their email and role
  4. They'll be invited and added to this job


Note: Only Administrators can invite new users.

Stage-Based Visibility


When enabled, Recruiters and Interviewers only see candidates in stages they're allowed to access. This is useful when:


  • You want hiring managers to only see final-round candidates
  • Different team members handle different stages
  • You need to control visibility of sensitive information


Administrators are never restricted by stage-based visibility.


Notifications


Hiring team members receive notifications for their jobs:


  • New applications
  • Candidate messages
  • Questionnaire completions
  • Evaluation submissions


Configure notification preferences at Settings / Notifications.


Use Cases


  • Confidential searches: Only add relevant team members
  • Department hiring: Add department head and HR
  • Panel interviews: Add all interviewers to give them access
  • External recruiters: Add with Recruiter role for full pipeline access, or Interviewer role for evaluation-only access
