Introduction to Pipeline Automations

Automate repetitive tasks by triggering actions when candidates move through your pipeline.


What are pipeline automations


Automations are rules that trigger automatically when candidates reach specific pipeline stages. Instead of manually sending emails or assigning tasks, the system does it for you.


Accessing automations


  1. Open a job
  2. Go to the Workflow tab
  3. Click the bolt icon on any pipeline stage
  4. Add or edit automations


Available automation types


Email to candidate

Send automatic emails to candidates.


  • Choose sender (connected mailbox)
  • Set delay (immediately, hours, days)
  • Select email template
  • Use for: thank you emails, next steps, rejections


Email to teammate

Notify team members about candidates.


  • Select recipient
  • Set delay
  • Include candidate information automatically
  • Use for: review requests, stage notifications


Nurture campaign

Multi-step automated sequences.


  • Multiple emails over time
  • Follow-up if no response
  • SMS and manual tasks included
  • Use for: outreach, engagement


Disqualify if (knockout)

Auto-reject based on screening questions.


  • Select yes/no question
  • Set expected answer
  • Use for: minimum requirements, eligibility checks


AI score

Automatically evaluate candidates.


  • Uses criteria from AI Scoring tab
  • Optional threshold actions
  • Use for: screening, prioritization


Act if a form is filled

Trigger when questionnaire is completed.


  • Set conditions (contains, equals, etc.)
  • Actions: move stage, disqualify, assign job
  • Use for: routing based on answers


Act if candidate stuck

Alert when candidates don't progress.


  • Trigger after X days
  • Email teammate, move, or disqualify
  • Use for: follow-up reminders


Assign task

Create tasks automatically.


  • Set task type, assignee, due date
  • Use for: manual follow-ups, reviews


Enrich

Find candidate contact information.


  • Uses enrichment APIs
  • Finds emails, phones, LinkedIn
  • Use for: sourcing workflows


Validate candidates's emails

Check email validity before sending.


  • Uses ZeroBounce
  • Protects sender reputation
  • Use for: cold outreach


Example automation flow


Applied stage:

  • Email to candidate: Thank you email (immediate)
  • AI Score: Evaluate candidate


Phone screen stage:

  • Email to teammate: Notify recruiter to schedule call
  • Assign task: "Schedule phone screen" to recruiter


Interview stage:

  • Email to candidate: Interview prep instructions (1 day before)


Offer stage:

  • Email to teammate: Notify hiring manager


Tips


  • Start simple, add complexity over time
  • Test with one candidate before full rollout
  • Use delays to avoid overwhelming candidates
  • Monitor results and adjust
